Role Overview: 

The Business Operations Coordinator is responsible for the management of business processes within the Workforce Operations Division of the Indiana Department of Workforce Development.  This positions also serves as administrative support to the Chief Workforce Officer.
Additionally, essential duties and responsibilities:
•    Facilitates a variety of business processes and assists with project coordination of initiatives in the workforce division. 
•    Maintains reports and tracking tools that inform and drive improved business practices and operational performance.
•    Reviews, updates and maintains business process documents and procedures. 
•    Provides excellent, professional, internal and external customer service by assessing customer needs, providing assistance and working to timely resolve issues.   
•    Serves as a point of contact and technical consultant to division staff, clarifying and interpreting procedures, providing references and resolving issues. 
•    Maintains positive working relationships with various DWD departments including workforce programs, fiscal, human resources, legal and IT teams. 
•    Manages and maintains calendaring and administrative assistance support for the Chief of Workforce Officer. Additionally, develops and maintains department calendar of events and conferences. 
•    Manages a variety of human resource functions for the workforce operations division including facilitating new employee onboarding activities, employee recognition processes, coordination of intern activities, and maintaining employee job descriptions. 
•    Develops and shares monthly reports related to areas of responsibility. 

Salary Statement: 

The salary for this position traditionally starts at $42,900.00, but may be commensurate with education or work experience.

A Day in the Life:

The essential functions of this role are as follows:

-Research and compile information on specific aspects of the program such as procedures, needs and policies.
-Answer customer questions about program policies and procedures.
-Establish, organize, and maintain current and historical files related to the program.
-Assist in the preparation of program reports, develop applications, prepare budget allocations and/or purchasing of consultative services.
-Maintain, monitor, and order program assets.
-Assist supervisor in the development and planning of overall program and its role in the functioning of the agency.
-Schedule, prepare, and disseminate all program related training materials.

-Specialized knowledge of program area including pertinent rules and regulations.
-Specialized knowledge of applicable legislation, guidelines, agency policy and professional standards and practices.
-Ability to research, analyze, and compile specific topics related to program area.
-Ability to communicate effectively. 
-Ability to operate effectively in a group decision-making process.
-Tact in dealing with other agency personnel and the public.
-Specialized knowledge of accounting and budgeting.
-Able to perform essential functions with or without reasonable accommodation.

Supervisory Responsibilities/Direct Reports:

This role may be utilized in a supervisory capacity based on agency needs.
